Program Description and Goals Volunteers will transcribe handwritten animal observation notes into ShelterLuv. These observation sheets document an animal’s physical condition, behavior, and overall well-being while in care. Accurate and timely data entry helps maintain organized records and supports continuity of care across departments. 3. How Does this Program Help the Shelter? Pasadena Humane’s Health Department cares for animals with a wide range of medical and behavioral needs. Maintaining accurate records is an important part of ensuring animals receive appropriate monitoring and care throughout their stay. Medical Data Entry Assistants support shelter operations by entering observation sheet information into ShelterLuv, helping ensure records remain current, accessible, and organized. This role allows staff to spend more time directly engaging with animals in care while maintaining consistent documentation for animals in the shelter. 4. Position Outline: Volunteers will check in at the Volunteer Services office, if this is your first active shift after training meet with a staff member in the Volunteer Services office to learn the location of the observation file holder where Health staff leaves completed daily observations. Depending on the current population of animals in care, Medical Data Entry shifts typically run 1.5 - 2 hours. If you need to cancel your shift for any reason, please do so at least 24 hours in advance. If you need to cancel with less than 24 hours advance notice, please withdraw from your shift and call the Volunteer Services office, 626.792.7151 x984. 5. Skills and Requirements 🩺 Attention to Detail – Ability to accurately interpret staff notations and enter animal health observations. 🩺 Strong Typing & Data Entry Skills – Comfortable using a computer to enter information quickly and efficiently. 🩺 Confidentiality & Discretion – Ability to handle sensitive medical information with professionalism. 🩺 Organizational & Time Management Skills – Able to manage multiple records accurately within established timeframes. 🩺 Ability to Follow Protocols – Adhere to Health Department documentation guidelines. ✅ Minimum Age Requirement – Volunteers must be at least 18 years old ✅ Completion of Orientation & Training – Must attend an in-person training and watch data entry training video prior to becoming an active participant. ✅ Proficiency with Computers – Experience with database systems, Microsoft Office, or similar software. ✅ Commitment to Scheduled Shifts – Ability to maintain a consistent volunteer schedule to support same-day transcription of health observations and accurate animal profile updates. ✅ Ability to Work Independently – Comfortable completing tasks with limited supervision and staff support while maintaining accuracy. 6.
